Minimum Qualifications

To be considered for this role, candidates must meet the following qualifications:

  • Grade 12 with proficiency in Mathematics and Accounting.
  • A post-school qualification is advantageous.
  • PSIRA Grade B certification is required.
  • 3 to 5 years of experience as an assistant reporting to senior management.
  • Flexibility to work extended hours when necessary.
  • A clean criminal record with no pending cases.
  • Proficiency in Advanced Excel, MS Word, and PowerPoint.
  • Exceptional verbal and written communication skills.
  • Strong ability to manage work-related stress and remain effective under pressure.
  • Capacity to work independently while meeting strict deadlines.
  • A positive attitude, enthusiasm, and self-motivation.

Key Responsibilities

In this role, you will be tasked with several key responsibilities that will contribute to the success of the Sales department:

1. Administrative Support for Sales Consultants

As a Sales Assistant, you will provide essential administrative assistance to the Sales Consultants. This includes generating quotes and managing the administrative processes for national contracts.

2. Building and Maintaining Relationships

You’ll play a key role in establishing and maintaining effective working relationships with various support departments to ensure smooth communication and problem resolution.

3. Handling Client Queries

Taking ownership of escalated queries is a vital responsibility. You’ll ensure timely follow-up and resolution for clients, working closely with staff to address and solve issues efficiently.

4. Coordinating Meetings

Managing meetings, including scheduling and coordination, is another core aspect of this position. You’ll be responsible for booking meetings with clients, staff, and senior management, as well as taking accurate meeting minutes when necessary.

5. Documentation and Correspondence

You will also handle the department’s correspondence, ensuring that all documents are distributed promptly. Managing the filing system and screening documentation is a critical part of maintaining organizational efficiency.

6. Purchase Orders and Sales Orders

You’ll manage purchase orders, quotes, and sales orders, ensuring that all necessary paperwork is completed correctly and in a timely manner.

7. Telephonic and Visitor Management

As the first point of contact for phone queries and visitors, you’ll ensure professionalism in assisting clients and making them feel welcomed.

8. Ad-Hoc Duties

There may be occasional ad-hoc responsibilities required by the Head of Department (HOD). Flexibility and the willingness to take on additional tasks will be expected.
